Data Change Requests

With Data Change Request (DCR) you can let regular users modify data tables in Master Data but still to:

  • Have strong control over the changes (i.e., someone has to approve the required data modifications before the changes are applied).

  • Be able to track such changes and reverse them if needed (good for data audits).

DCRs can be accessed from the Master Data menu.

Prerequisites

First, you need to set up for which specific objects the DCR should be used. This is done in Configuration in Types of Data Change Requests (entitled users only).

The end user needs to have assigned the Manage Data Change Requests user role.

Note: For Product or Customer Extensions with 50 columns (PX50/CX50) only the first 30 columns can be edited in a DCR, the remaining 20 columns are omitted.

Add DCR

To add and edit a DCR:

  1. In the screen of a object to be changed, click the Add Data Change Request button.

  2. Select a Type of Changes from the drop-down list. A Name (such as DCR-123) will be added automatically.

  3. Enter a Label.

  4. Click Add. A new screen with the details of the change request opens. For the selected type, all of the current values are listed.

  5. Make your changes – either by editing individual cells or using mass edit.

    • Edit individual cells.

    • Mass edit cells of multiple rows.

    • Add a new row.

    • Delete a row – Select True in the Delete Row column.

  6. Review the changes.

    • The changed cells are highlighted (in gray if edited manually or other colors if mass-edited). Hover the mouse cursor over an updated value to see the previous value in a tooltip.

    • All edited and added rows are marked with this icon:

    • Added rows and rows to be deleted are completely gray highlighted.

    • To see only the changed and added rows, use the Show Changes Only toggle button. Note that the button is not available when the data is mass-edited.

    • To revert a change, select the row and click the Clear Changes button. In the original rows, the changes in edited cells will be reverted. A newly added row will be completely removed.

  7. Click the Submit button to submit your DCR for approval. All the changes will be executed only after they have been approved.
    A submitted DCR cannot be edited or deleted.

 You can also create a DCR from any Data Master table, for which a type of change is defined (available for Products, Customers, Company Parameters, MPL, Product Extensions, Customer Extensions). Click the Create Change Request button in the toolbar, select the desired change type, click OK and start editing.

Mass Edit DCR

To mass edit a DCR:

  1. Click the Name or Label of a DCR to display the detail view page.

  2. Determine which items will be mass edited:

    • You can mass edit all the items by clicking the Mass Edit button on the top tool bar.

    • Filter or manually select the desired items and click the Mass Edit button on the bottom toolbar.

  3. In the Mass Edit dialog, select the attribute that you want to change, the operator and the value. You can edit multiple attributes at once.

  4. After you confirm the mass edit, the changed cells are highlighted (in different color for each mass edit applied to this DCR).

  5. You can review all the completed mass edits on the Mass Changes panel. Click the View/edit Details button to see what was modified by that particular change.

    • You can adjust this change – confirm it by clicking the Edit button in the Mass Change Editor.

    • You can completely revert a denied or not yet submitted mass change by using the Delete button at the bottom of the panel.

  • If you edit some of the values manually, these edits have the highest priority and will not be overridden by mass edit.

  • Rows marked for deletion are left out during mass edit.

  • The mass edit is not applied immediately but only when approved. Until the request is approved, you can see the coming changes – rows that are shown are modified "on the fly" on the server without being written to database. This way you can see impact of the mass change before it is actually executed.

  • The 'Clear Changes' button works only for manual DCRs, it has no effect on mass edit DCRs.

 To modify/add the DCR data, you can also use the Excel Client.

Approve DCR

To use an approval workflow for DCRs, you need to set the workflow logic first.

To approve/deny a DCR:

  1. Go to the DCR detail view and click the View Workflow button.

  2. Click the Approve or Deny icon.

You will approve or deny ALL changes. If you want to ignore a specific change, you need to set the Ignore Changes column value to true. The row will be highlighted in red.
