Quote Mass Update

When you need to modify a large number of Quotes, you can do it quickly and efficiently using the Mass Update feature.

This feature is useful when you want to:

  • Run the default Quote calculation logic to update Quotes with any new changes (e.g., new prices in updated Price Lists).

  • Automatically update Quote inputs with a simple change or using a mass update logic.

  • Mass submit Quotes. 

Quotes for mass update are selected by a user-defined generic filter. Quotes can only be updated if their document status is Draft or they are Approved.

Triggering a mass update will create a new background job, that allows for execution of a code that updates inputs, calls the currently valid pricing logic and allows for post-processing overridable outputs. Quotes that are included in the mass update cannot be edited or any workflow action performed on them while the update job is running.

A Quote mass update job can be scheduled as a calculation flow.

How to Mass Update Quotes

Before you start with mass updates, at least one template must be configured. Then you can go ahead and run a mass update job:

  1. Go to Quoting > Mass Update.

  2. Click the Add Mass Update button, a pop-up dialog opens.

  3. The first step is the Template and Filter dialog.


    Make the following settings:

    1. Select a mass update template (the default template is preselected).

    2. Set the label for the mass update job.

    3. Create filters to get the required list of Quotes for mass update. The final list of Quotes will be the result of all the used filters combined: Quotes (header info), customers or customer groups (as set in the Quote header) and product line items. You can immediately see the resulting number of Quotes that pass the filters.

    4. Select the scenario on item calculation failure and whether you wish to be notified when the job finishes.

    5. (Optional) If comments on submit are enabled for Quotes, enter your comment. The comment will only be added to Quotes if automatic submission of updated Quotes is enabled in the next step.

  4. In the Set Parameters step, update Quote inputs. Set a new value or add to, subtract from or multiply the original value. If there are additional parameters defined by the job configuration, they will appear below the inputs.

    In this step, you can also:

    • Create duplicates of the original Quotes.

    • Automatically submit updated Quotes for approval when the calculation is finished.

  5. Now you can execute the calculation or run the job as a simulation.

 To see an overview of the mass update, select the mass update job in the list and click the Summary button. It displays a list of all the Quote line items and a comparison of their original and updated values and statuses. If the original Quote's status is Deal, Offer or Lost, a new revision is created.

Mass Submit Quotes

You can use the Mass Update functionality for mass submitting Quotes. Follow the steps described in the section above with the following specifics:

  • In the first step, as a Template select a template which has no logic in it.

  • In the second step, enable the option Automatically submit updated (or duplicated) Quotes where possible.

Configure Quote Mass Update Job

If you only want to rerun the default pricing logic on a number of Quotes, you simply define filters, which will get you the Quotes you want to update – and you are ready to go. If you want to make additional changes to the Quotes (update inputs, keep the values overridden by users), you may define update logics and a template that users will select when creating an update job.

To configure a mass update job:

  1. Create header / line item mass update and override logics (a generic logic with Nature set to Quotes Mass Update).

  2. Go to Administration > Configuration > Quoting > Quote Mass Update Templates.

  3. Create a new template.

  4. In the Header Inputs section, add fields that will be editable by the user during the mass update.

  5. Select the header mass update and override logics created previously.

  6. In the Item Inputs section, add the fields that will be editable by the user during the mass update.

  7. Select the line item mass update and override logics created previously.

  8. Configure the summary view tables.

  9. Click Save.
